How to Use Tags in Zoho CRM to Keep Your Records Organized

Tags in Zoho CRM are a simple yet powerful tool to categorize, filter, and organize your data. They allow you to label records with meaningful keywords, making it easier to search, sort, and segment information. Here’s a quick guide on how to use tags effectively in Zoho CRM:

Step 1: Adding Tags to Records

Tags can be added to leads, contacts, deals, and more. Here’s how:

1. Navigate to the module where you want to add a tag (e.g., Leads, Contacts).

2. Open the record you want to tag.

3. Look for the Tags section, usually at the top or in the details view of the record.

4. Click the Add Tag option and type your desired keyword (e.g., “VIP,” “Follow-Up,” or “Urgent”). You may also organize by color.

5. Click Save to apply the tag.

Tip: Use consistent naming for tags across your team. For example, decide whether you’ll use “High Priority” or “Urgent,” but not both, to avoid confusion.

Step 2: Searching for Records Using Tags

Once your records are tagged, you can quickly filter or search for them:

1. Go to the module you want to search in (e.g., Contacts).

2. Click the Filter button or use the search bar.

3. Select the Tags filter, and choose the tag you’re looking for (e.g., “Follow-Up”).

4. Zoho CRM will display all records associated with that tag.

This is particularly useful for grouping similar records or prioritizing tasks

Step 3: Managing Tags Across Your CRM

You can review and edit all your tags in one place:

1. Navigate to Setup (gear icon).

2. Under Customization, select Tags.

3. Here, you can view all tags used in your CRM, delete unnecessary tags, or rename them for better clarity.

Pro Tip: Clean up unused or duplicate tags regularly to keep your CRM clutter-free.

Step 4: Automating Tagging with Workflows

To save time, you can create workflows that automatically apply tags based on specific conditions. For example:

  • Tag a lead as “New” when it’s added to the CRM.

  • Apply a “High Value” tag when a deal’s estimated revenue exceeds a certain amount.

To set this up:

1. Go to Setup > Automation > Workflow Rules.

2. Click Create Rule and define the module and conditions for the workflow.

3. Under the action, choose Update Tags and specify the tag you want to add.

Step 5: Using Tags for Reporting

Tags can also enhance your reports by helping you segment data. For instance:

  • Create a report to show all deals tagged as “High Priority” in the last quarter.

  • Analyze the performance of leads tagged as “Referred.”

To include tags in reports:

1. Go to the Reports module.

2. Choose the module you want to report on and customize the fields.

3. Add the Tags field to group or filter your data.
