How to Change the Button Transition Order of Zoho Blueprints

Blueprints in Zoho CRM simplify and standardize your business processes by creating structured workflows. They help ensure that everyone follows the same process, from lead generation to deal closure. However, as workflows evolve, you might need to tweak the order of transitions to suit your needs better. In this blog post, we’ll show you how to modify a blueprint’s transition order.

Step 1: Navigating to the Blueprint Editor

To start editing your blueprint, you first need to locate it in Zoho CRM:

1. Access Settings:
Click the Setup icon (gear icon) in the top-right corner of the page.

2. Find the Blueprint Option:

  • Under the Process Management section, select Blueprint.
  • You’ll see a list of existing blueprints associated with different modules.

3. Choose a Blueprint to Edit:
Select the blueprint you want to modify by clicking its name. This opens the Blueprint Editor.

Step 2: Understanding Your Stages and Transitions

Before making changes, it’s helpful to review the structure of a blueprint:

  • Stages: Represent key points in your workflow (e.g., “Lead Qualification” or “Negotiation”).

  • Transitions: Define the actions or criteria required to move from one stage to another (e.g., “Send Proposal” or “Schedule Call”).

Step 3: Changing a Blueprint’s Transition Order

1. Open the Transition Settings:
In the Blueprint Builder, you’ll see your workflow displayed as a visual map of stages and transitions.

2. Edit the Desired Transition:

    • Hover over the transition you want to reorder.

    • Click the Edit icon (pencil icon) to open the transition settings.

3. Adjust the Transition Criteria (Info and States):

    • You can optionally modify the entry criteria, conditions, or associated actions to better define how users move to the next stage under the “info and states” tab.

    • To prioritize certain transitions, edit their dependencies. For example, ensure a “High Priority” transition takes precedence over a generic action.

4. Reassign Transition Order:

  • Drag and rearrange transitions in the builder and click “save” when finished.

5. Save Changes:

  • Once you’ve reordered transitions or updated criteria, click Save to apply the changes to the blueprint.

Step 4: Test and Refine the Blueprint

After editing, test the updated blueprint to ensure it works as intended:

1. Use test records to navigate through the workflow.

2. Confirm that transitions follow the updated order and meet the defined criteria.

3. Gather feedback from your team to identify any further adjustments needed.
